Healthcare facilities in Kenya are now required to register online after the Kenya Medical Practitioners and Dentists Council (KMPDC) officially launched a fully digital registration system.
The new system is designed to make healthcare regulation more efficient and modern, improve transparency, and boost the quality of service delivery.
In a statement released on Monday, May 26, KMPDC announced that the digital platform would help simplify the registration process for health facilities, eliminate manual paperwork, and enhance accountability across the healthcare sector.
“In a move to modernise healthcare regulation, the Kenya Medical Practitioners and Dentists Council (KMPDC) has launched a fully digital health facility registration system. This initiative aligns with the Council’s broader mandate to streamline operations, promote transparency, and enhance service delivery,” the council stated.
Step-by-Step Guide to Registering a Health Facility
To use the new digital registration system, healthcare facility owners or administrators should follow these steps:
1. Access the KMPDC Online Portal
Start by visiting the KMPDC official website. On the portal, new users are required to create an account by entering their personal information. This includes:
- Full name
- Email address
- A password (must be strong and confirmed correctly)
Important Tips for This Step:
- Do not leave any blank spaces before or after the email address.
- Make sure that the password and confirm password fields match.
- Choose a strong password for your account’s security.
- Ensure that all required fields are properly filled out with accurate information.
After completing the form, click the Register button to proceed.
2. Verify Your Email Address
Once you click register, you need to verify your email. Check your inbox for a verification message—this usually arrives within 5 to 10 seconds. If you don’t receive it, click the Resend Verification button.
Clicking the verification link in your email will redirect you to the sign-in page.
3. Log Into Your New Account
Use the credentials (email and password) you provided during registration to log in. Click the Login button after entering your details.
4. Create a Profile
Once you’re logged in, you’ll be asked to complete your user profile. Fill in the required details, and make sure to upload a profile photo (the image should be less than 2MB in size).
When selecting the Service Category, choose Health Facility and click Save to move to the next stage.
5. Register a New Facility
To start the facility registration process, go to the top right corner of the page and click on Select a Service, then choose Register a New Facility.
This will open a new interface where you will be guided through each stage of the application. Be prepared to provide detailed information about the facility, including:
- Facility name
- Location (with proper address and area)
- Facility classification (e.g., clinic, hospital, etc.)
You will also need to include:
- Details of directors or individuals in charge
- Services that the facility offers
- List of qualified personnel and staff
- Upload supporting documents that prove compliance with healthcare regulations and licensing requirements
Make sure all the information provided is accurate and truthful. Any inconsistencies or false information could lead to the rejection of your application.
6. Await Verification and Inspection
After submitting your application, KMPDC officers will review all the provided information and conduct an on-site inspection of the health facility. The application will be processed within 21 working days after the inspection is completed.
Benefits of the Digital System
The new online registration system comes with several important advantages:
- Improved data accuracy – All inputs are digitally validated to minimize errors.
- Automated validation processes – Helps speed up the verification steps.
- Real-time audit tracking – Allows for monitoring and tracking of activities during and after registration.
- Centralized digital records – Makes it easier to retrieve, update, and manage data from a single system.
- 24/7 access – Applicants can access their accounts and check their application status at any time.
- Faster approvals and alerts – Internal workflows are streamlined using automated alerts and approval systems.
This digital shift is a major step towards enhancing efficiency in healthcare management in Kenya, making it easier and faster for facilities to comply with regulations while ensuring that healthcare services are offered under licensed and properly monitored environments.
